Sending an E-mail Marketing Campaign

Learn how to create, schedule, and send one-time or recurring email marketing campaigns to your clients using the built-in marketing tools in the software.

Learn how to create and send email marketing campaigns to your clients directly from the software. You can send a one-time campaign or set up a recurring campaign to automatically reach your clients on a schedule. This article walks you through building your email template, selecting recipients, and scheduling your campaign.

โš ๏ธ Please Note:

  • Scheduled campaigns donโ€™t send instantly. Emails are queued and delivered in batches once per hour, so they may go out anytime within the scheduled hour.

  • Recurring campaigns donโ€™t start immediately. They begin sending about 24 hours after creation (based on activation timing).

โ›” Disclaimer:

Canceling a marketing campaign after processing has started will not stop messages that are already queued. When a campaign begins, the software pulls the recipient list and starts sending. Any messages already queued will continue to send. Canceling only prevents new messages from being added.

โš ๏ธ Please Note:

By default, templates includes two required insert items: Company Mailing Address Line and Unsubscribe. Do not remove these โ€” they are required for the campaign to send. If you accidentally remove either placeholder, select the Insert Placeholder dropdown menu and re-add them from the list.

  1. Select Marketing from the top menu. If you do not see it in the main menu, select More then Marketing.

  2. Click the + sign in the bottom right corner.

  3. After clicking the + sign, you will be taken to the Select Type screen, where you can select a template to continue:

    • Say 'Happy Birthday' (Recurring) - Automatically send an email to clients with an upcoming birthday.

    • Thank You for Visiting (Recurring) - Send a follow-up email after each appointment.

    • Remind Clients to Book Again (Recurring) - Email clients who are likely ready for their next appointment but haven't scheduled one yet.

    • Promote Loyalty Rewards (Recurring) - Remind clients when they have loyalty point rewards available.

    • Build Your Own โ€“ One-Time Email Blast (One Time) - Send a one-time email to your desired audience.

    • Build Your Own โ€“ Automated Email Campaign (Recurring) - Create your own automated campaign targeting the clients you want to reach.

    • Open for Business (One Time) - Let clients know you are open and ready to start booking appointments.

    • Promote Tele-Consultations (One Time) - Stay in touch with clients by offering video consultations.

    • COVID-19 Update (One Time) - Share the latest information about your business during this time.

    • Text Marketing Opt-In (Recurring) - Encourage your clients to join your text message marketing list.

  4. After selecting your template, click Continue.
    โ€‹

  5. If you've chosen to build your own template you will be directed to a blank template page, if you've chosen a premade template you will be directed to an editable and prefilled template page.

  6. Enter the Campaign Name and Subject.

    • The campaign name is not visible to recipients.

    • The subject line is what will be used in the email's subject line and visible to clients.

Keep images simple! Upload images directly through the template editor for best results. Avoid sending emails that are only an image โ€” this can trigger spam filters.

  1. Click where you want the image to appear in the email and press the picture icon on the toolbar.
    โ€‹

  2. Select a previously uploaded image or click Upload to add a new image from your computer.
    โ€‹

  3. Once you have selected your picture, press Insert.
    โ€‹

Required placeholders - Always keep the Company Mailing Address Line and Unsubscribe insert items in your email template. Without them, the campaign will not send.

  1. Click where you want the placeholder to appear in the email.

  2. Select the placeholder you'd like to insert from the placeholder drop down.
    โ€‹


When you are finished creating your email template: check the box labeled 'Save design to 'Your Templates" to save this template to reuse later or press Continue to begin selecting recipients.

Use filters wisely - Take advantage of the Filter by option to send targeted campaigns to specific groups, such as clients who haven't visited recently or clients in a specific category.

  1. Choose either All Clients or Select by Filter.

    • All Clients sends the campaign to every client who has an email address on file and are not opted out of receiving marketing.

      • This option is not available for recurring campaigns.
        โ€‹

    • Select by Filter allows you to use filter options to narrow down your recipient list.

      • Check the box next to each filter option you wish to use and select the desired criteria from the dropdown or enter the appropriate values.
        โ€‹

    • Customize Recipients can be used to manually select clients to receive this campaign.

      • If a client's name is greyed out they cannot be selected as a recipient, you can hover over their name to see the reason.

  2. Press Continue once your recipients are set to proceed with scheduling your campaign.

โš ๏ธ Please Note: The Client Preview shows an estimated recipient list based on your current filters. The actual list of recipients may change at the time the email is sent, depending on your selected filters and client data at that time.

Before scheduling your campaign, the Review Campaign screen gives you a final look at your setup across three sections: Campaign Type, Design, and Recipients. Use the Edit link next to any section to go back and make changes.

  1. Under Campaign Type you can edit the type of campaign you're sending (one-time/recurring/templates).

  2. Under Design you can preview the contents of your campaign.

    • Click Send a Test Message to send a preview of the email to the address on file for the currently logged-in employee. Use this to confirm formatting, images, and content look correct before sending to clients.
      โ€‹

  3. Under Recipients, review the Targeted Clients section to see the filters applied to your campaign.

  4. Once you have reviewed your campaign, choose one of the following:

    • Click Schedule to Send to queue your campaign for delivery.

    • Click Save as Draft to save your progress and return to finish later.

  1. Select Start Campaign.

  2. Confirm you'd like to start sending the campaign by selecting Start once more or Cancel to make changes.

โš ๏ธ Troubleshooting

Learn how to resolve common issues with email marketing campaigns.

  • Campaign won't send: Make sure both required placeholders (Company Mailing Address Line and Unsubscribe) are included in your email template. Campaigns will not send without them.

  • Recipients didn't receive the email: Campaigns are delivered in batches once per hour after the scheduled time. Allow up to one hour for delivery. If clients still haven't received the email, confirm they have a valid email address on file and that their notification preferences allow marketing emails.

  • Images not displaying: Ensure images were uploaded directly through the template editor using the picture icon on the toolbar. Images must be saved on your computer before uploading, linked or externally hosted images may not display correctly.

Can I cancel a campaign after it starts sending?

You can cancel a campaign, but only unsent messages will be stopped. Any messages already queued for delivery will continue to send.

Are email campaigns sent instantly at the scheduled time?

What happens if I remove the required placeholders from my template?

Your campaign will not send. You must include both the Company Mailing Address Line and Unsubscribe placeholders. If removed, re-add them from the Insert Placeholder dropdown menu.

Can I send a campaign to only certain clients?

Can I test my campaign before sending it to clients?

Yes. On the Review Campaign screen, click Send Test Message to preview how the email will look. The test sends to the email address of the currently logged-in employee.

Additionally, you can add yourself or your employees as clients in the software with valid email addresses and include them in the campaign to preview how the email will look.

Who receives the test message when I click "Send a Test Message"?

The test is sent to the email address on file for the employee who is currently logged in. It will not be sent to your client list.

Why does the recipient count on the Review screen not match who actually received the email?
